Booking Terms and Conditions (Summer Programmes 2026)

These Terms and Conditions (“Terms”) govern the relationship between Asterclass Academy (“the Agency”, “we”, “us”) and the Parent/Guardian (“the Client”, “you”) regarding the enrolment of students in summer courses hosted by our partner institutions.

1. Our Role as an Authorised Partner

Asterclass Academy acts as an Authorised Enrolment Partner for various independent educational institutions (each a "Host School"). We provide administrative support, enrollment facilitation, and (where selected) bespoke logistical services. By booking through Asterclass Academy, you benefit from our localized support and liaison services with your chosen Host School.

2. The Contract of Education

While Asterclass Academy facilitates the booking, the actual provision of the summer course, accommodation, and teaching is a contract between the Client and the Host School.

  • All students are subject to the individual Terms & Conditions, Rules, and Codes of Conduct of the respective Host School selected at the time of booking.

  • By completing a booking on our website, you acknowledge that you have read and agreed to the Host School’s specific terms (as provided in their respective prospectus or school-specific documentation).

3. Safeguarding and Duty of Care

The Host School is the primary provider of residential care and education.

  • Responsibility: All safeguarding policies, health and safety protocols, and 24/7 pastoral care are managed and executed by the Host School in accordance with UK regulations.

  • Staffing: All on-site staff at the Host Schools are vetted and managed by the Host School directly.

  • Liability: Asterclass Academy is not liable for any incidents, injuries, or disputes arising from the operation of the course at the Host School’s premises.

4. Fees and Payment

  • Deposit: A non-refundable deposit is required at the time of booking to secure a place.

  • Balance: The remaining balance must be paid by the deadline specified on your invoice (typically May 2026).

  • Course Fees: The fees listed on the Asterclass Academy website are inclusive of the course provision at the Host School and our standard administrative and liaison support. Additional charges apply only to optional services (such as regional coach transport or cultural induction programs) as selected by the Client during the booking process.

5. Cancellations and Refunds

Cancellations are subject to the specific refund schedule of the Host School:

  • If the Host School retains a percentage of the fee upon cancellation, Asterclass Academy will pass that charge through to the Client.

  • Administrative fees for processing cancellations may apply.

  • We strongly recommend all Clients have comprehensive travel and "cancel-for-any-reason" insurance.

6. Extra Logistical Services (Asterclass-Led)

If you book "Asterclass Add-on Services" (such as our dedicated regional coach transport or Cultural Induction programs), these specific services are managed by Asterclass Academy.

  • We partner exclusively with established transport providers who hold valid PSV (Public Service Vehicle) licenses for all student coach travel.

  • Liability for transport is limited to the terms of the transport provider's insurance.

7. Data Protection

We collect student data solely for the purpose of enrolment and safeguarding. This data will be shared with the Host School to ensure the student's safety and academic placement.

By submitting the application form and/or completing payment, you agree to these Terms and the specific Terms of the selected Host School.
